Why you can’t share an iCloud folder with other users on iPhone

Sharing an iCloud folder from your iPhone should be as simple as tapping Share — but sometimes the option is missing from the menu, or the share silently fails. Usually the cause is mundane: you are trying to share the wrong kind of folder, iCloud Drive needs a nudge, or your storage is full. Here is how to share iCloud folders correctly and fix it when the option disappears.

How to share an iCloud folder the right way

  1. Open the Files app and go to iCloud Drive. You can only share folders stored in iCloud Drive — local “On My iPhone” folders cannot be shared.
  2. Long-press the folder and tap Share.
  3. If the share sheet says “Send Copy”, tap that row and switch it to “Collaborate” — otherwise recipients get a static copy instead of live access.
  4. Choose permissions (who can access, view-only or can-make-changes) and send the invite.

Important: folders belonging to installed apps do not show a Share option at all. Copy their contents into a new folder you create yourself, then share that folder.

What to do when the Share option is missing

  1. Check iCloud storage. Go to Settings > [your name] > iCloud. If your storage is full — for example after a failed storage-plan payment drops you back to the free 5 GB — sharing features can break. Free up space or upgrade your plan.
  2. Toggle iCloud Drive off and on. Go to Settings > [your name] > iCloud > iCloud Drive, switch it off, wait a moment, and switch it back on.
  3. Reinstall the Files app. Delete it the usual way and reinstall it from the App Store — this clears corrupted local state.
  4. Check existing shares. In Files, look through your shared folders: you may have already shared the folder and only need to adjust permissions, or stop sharing and re-share it.
  5. Try another route. Share the folder from another device or from iCloud.com on a computer to see if the problem is specific to your iPhone.

If it still doesn’t work

Make sure the recipients sign in with an Apple ID and have enough free iCloud space themselves. If you use Advanced Data Protection, review its requirements — see why Advanced Data Protection for iCloud can’t be enabled. Apple Support documents iCloud Drive sharing limits, MacRumors covers Apple’s collaboration features, and walkthroughs on YouTube show the process visually. If email is part of your sharing workflow, our guide to finding emails sent to your hidden iCloud email address may also help.

Frequently asked questions

Why is there no Share button on my folder?

It is probably an app-data folder or stored locally on the iPhone. Move the files into a regular iCloud Drive folder first, then share that.

Can people without Apple devices access my shared folder?

They can view files through a web link, but full collaboration — editing and syncing — works best when everyone uses an Apple ID.

Conclusion

iCloud folder sharing fails most often for simple reasons: the wrong folder type, full storage, or a stuck iCloud Drive toggle. Share from iCloud Drive with the Collaborate option, work through the fixes above, and your folders will be in your collaborators’ hands in minutes.
